Who I am

ArtisticAI is a trading name of ARTISTICAI LTD, a company registered in Scotland (company number SC617849), with its registered office at 14 Challum Place, Broughty Ferry, Dundee, DD5 3SZ.

ARTISTICAI LTD is the data controller for the personal information described in this policy. That means I decide why and how your information is used, and I am responsible for looking after it.

What this policy covers

This policy explains what personal information I collect when you visit artisticai.co.uk, get in touch, book a call, or work with me as a client. It also explains what I do with that information, how long I keep it, and what rights you have.

The information I collect

When you use the contact form, I collect:

• Your first and last name

• Your email address

• Your company name, if you provide one

• The service you're interested in

• Details of the project you describe

• Intended use, timeframe and budget information you choose to share

 

When you book a discovery call, I collect your name, email address, and any details you provide when booking, along with your chosen date and time.

 

When you email me directly, I receive whatever information you choose to include in your message.

 

If you become a client, I may also collect billing details, project materials, and correspondence relating to the work.

 

When you browse the site, limited technical information may be collected automatically — such as your IP address, browser type, device type, and the pages you visit. This is described further in the Cookies section below.

I do not knowingly collect any special category data (such as health, ethnicity, religious beliefs or biometric data), and I would ask you not to include such information in project enquiries.

Why I use your information, and my lawful basis

Under UK data protection law, I must have a lawful basis for using your personal information. Mine are as follows:

Arranging and holding discovery calls - Legitimate interests, or contract where a project is being agreed

Delivering a project you have commissioned - Contract — to perform the agreement between us

Issuing invoices and keeping accounting records - Legal obligation — UK company and tax law

Keeping the website secure and working properly - Legitimate interests — running a safe, functional website

Non-essential cookies and analytics - Consent — you can accept or decline, and change your mind at any time

Sending marketing emails, if I ever do so - Consent — I will ask first, and you can unsubscribe at any time

Where I rely on legitimate interests, I have considered whether my interest in running the business is outweighed by your rights, and I've kept the information I collect to what is genuinely needed.

Information transferred outside the UK

Some of the providers above store or process information outside the UK, including in the United States and elsewhere. Where that happens, appropriate safeguards are in place — such as UK International Data Transfer Agreements, the UK Extension to the EU–US Data Privacy Framework, or an adequacy decision — so your information continues to receive equivalent protection.

Artificial intelligence and your project materials

Generative AI is central to the work I do, so it's worth being explicit about how that interacts with your information.

• I do not enter your personal contact details into generative AI tools.

• Project materials you supply — such as product renders, photographs, specifications or briefs — may be processed using generative AI tools in order to produce the work you have commissioned. That is the nature of the service.

• Where a project involves confidential or commercially sensitive material, I will agree the handling arrangements with you in advance, including which tools are appropriate.

• I will not use your project materials to train third-party AI models where I have the ability to prevent it, and I select tools with that in mind.

 

If you have specific requirements about AI tool usage on your project, please raise them at the outset and they can be built into our agreement.

How long I keep your information

Enquiries that don't lead to a project - Up to 12 months from our last contact, then deleted

Client project records and correspondence - 6 years from the end of the working relationship

Invoices and accounting records - 6 years from the end of the relevant accounting period, as required by UK law

Website analytics data - As set by the analytics provider — see the Cookies section

Marketing consents - Until you withdraw consent, plus a short record that you did so

 

Where I keep something longer than strictly necessary, it's normally because a legal or tax obligation requires it.

How I keep your information safe

I take reasonable and proportionate steps to protect your information, including access-controlled devices, strong and unique passwords with two-factor authentication where available, encrypted connections to this website, and reputable service providers with their own security measures.

No system can be guaranteed completely secure, but if a breach occurs that is likely to result in a risk to your rights, I will notify the Information Commissioner's Office and, where required, you.

Your rights

Under UK data protection law you have the right to:

• Be informed about how your information is used — which is what this policy is for

• Access a copy of the personal information I hold about you

• Rectification — have inaccurate information corrected

• Erasure — ask me to delete your information in certain circumstances

• Restrict processing — ask me to limit how I use it

• Data portability — receive certain information in a portable format

• Object to processing based on legitimate interests

• Withdraw consent at any time, where consent is the basis I'm relying on

If you're unhappy with how I've handled your information, please tell me first so I have the chance to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113.

This website and these services are intended for businesses and adults. I do not knowingly collect information from anyone under 18.
